Kids check-in

Easy drop-off. Safe pickup.

Volunteers check families in at a lobby station. Each child gets a name label with a pickup code, and only the matching code checks them out.

A kids check-in station on a light oak welcome counter: a tablet on a stand shows Welcome to Cedar Hill, kids check-in, Downtown, with the printer ready, a keypad with 6148 typed, and All set: Mateo is checked in, your pickup code 7KP4, it's on the tag printing next to you. Beside it a label printer prints Mateo's name label with the matching code 7KP4, and a volunteer's lanyard lies on the counter. A small card above reads Kids check-in at Downtown today, 7 of 11 children checked in, with allergies for Eli Okafor, peanuts, and Isaac Chen, here, dairy.

Labels and allergies

A name on every child. A code in every parent’s hand.

Checking a child in prints a label with their name and pickup code. The parent keeps a tag with the same code. Volunteers see every child who’s checked in, and any allergy, before the child walks through the door.

  • A fresh pickup code every Sunday
  • Allergies in red on the label and the check-in list
  • A live count of who’s checked in
A soft white label printer with a freshly printed child label curling out: Mateo, pickup code 7KP4, Pre-K, Sun, Sep 27. The matching parent tag, 7KP4, show this at pickup, rests in front. Behind floats today's check-in list: Mateo Alvarez is checked in, pickup code 7KP4. The Alvarez family: Mateo Alvarez, Pre-K, here since 8:52 AM. The Chen family: Isaac Chen, 3rd grade, allergy: dairy, here since 8:47 AM. Each has a Check out button.

Secure pickup

No matching code, no checkout.

At pickup, the volunteer types the code from the parent’s tag. Joined checks the child out only when it matches the child’s label. If it doesn’t, Joined says so and the child stays checked in.

  • Checkout needs the code from the parent’s tag
  • Pickup is its own permission, given by role
  • The pickup time shows on the check-in list
The pickup check in Joined: Check out Mateo Alvarez. Read the pickup code on the family's tag; it has to match the label on the child. 7KP4 is typed in the pickup code field, with Cancel and Check out buttons. In front, the parent's printed pickup tag reading 7KP4 rests on a set of car keys.

Before the doors open

Ready before the first family arrives.

The readiness list shows every label printer, check-in station and nursery volunteer for Sunday. If a printer has dropped off, a volunteer can reconnect it and print a test label from the list.

  • Printers, stations and volunteers on one list
  • Reconnect and test print in one place
  • What still needs attention sits at the top

A fresh roll of labels lies in front.
